How we handle your data.

Who we are

Accqui Ltd(the "controller") is a UK rental-technology company building tools for tenants. This notice covers our applicant, contributor, beta, community, and waitlist platforms. Contact: hello@accqui.com.

What we collect

  • Your name, email, phone (optional), city, university, and the roles you're interested in.
  • Optional links: LinkedIn, portfolio, GitHub, X.
  • Your answers to our application questions and renting-research questions.
  • Optional uploads: CV, portfolio, audio, video.
  • If you join the waitlist: your email, plus your browser type and the page that referred you (so we know which cities and channels to prioritise), and — if you tell us — your city.
  • If you share a renting story: the story itself and your answers to the optional follow-up questions, plus the page that referred you; your town or city and an email address only if you choose to give them. Stories are anonymous by default — no account, no name.
  • If you take part in the community or beta programme: your posts, comments, bug reports, and feedback.
  • If you create a Move-In Record (Leeds beta): the property address and move-in date you enter, your room notes, and the photos you upload — photographs of the inside of your home, which we treat accordingly (see below).

Your Move-In Record

Your record belongs to you. Its contents — the photos, notes, address and dates — are readable only by your account: our staff can count how many records and photos exist, but cannot read or view them. If you ask us for help with your record, the access we make to assist you is logged, and we'll tell you about it. Each photo is timestamped at the moment it reaches our servers, and nothing in a record can be edited afterwards except your own notes. You can export your record as a PDF or delete it whenever you like — deleting removes the photos and the data immediately, and we keep it until you do.

We currently run no analytics— no page-view tracking, no event counters, no marketing pixels. If that changes, we'll update this notice and ask for your consent first.

Why we collect it

  • Recruitment — to evaluate your application and (if relevant) invite you to interview.
  • Research — to understand how renting works for real people, with your explicit consent.
  • Community & beta testing — only if you opt in.
  • Waitlist — with your consent, to write to you when Accqui opens in your city; kept until launch in your city or until you ask us to remove you.

Legal basis: legitimate interest (recruitment) and your consent (research, community, beta). You can withdraw consent at any time.

How long we keep it

  • Rejected applicants: 12 months.
  • Waitlisted applicants: 24 months.
  • Accepted contributors: until you delete your account.
  • Research data: anonymised after 24 months.
  • Audit logs: up to 7 years — our chosen limit so security incidents and disputes about decisions can be investigated long after the fact.

Your rights

You can at any time:

  • Download the data we hold about you — your application data instantly from your portal; anything beyond it, email us and we'll compile it.
  • Delete your account and the data associated with it.
  • Correct anything that's wrong.
  • Withdraw consent for research, community, or beta.
  • Object to, or ask us to restrict, processing based on our legitimate interests — including the recruitment processing described above.
  • Receive the data you gave us in a portable, machine-readable format.

Voice answers

Some browsers let you speak your application answers rather than type them. If you use this feature, your audio is sent to your browser's built-in speech service (provided by your browser or operating system) to convert it to text — we do not send the audio to our servers, and we don't store it unless you separately tell us you're happy for us to.

The final text you save is what we hold, not the audio. You can always edit the transcript before saving, or just type instead — voice is entirely optional.

Interview recordings and transcripts

We only record or transcribe your interview if you give explicit permission on your booking page. If you do consent:

  • Recording — a copy of the call is stored securely so the team can revisit it while making a decision.
  • Transcript — we may convert the recording to text. The transcript is used internally to help the team review your interview fairly, with consistent notes for every candidate.
  • Feedback— if you're not selected and you've also consented to feedback processing, we may use your transcript and interviewer notes to write you a thoughtful, personalised piece of feedback. A super-admin reviews and approves this before it is ever sent to you.

Who we share it with

We do not sell your data. We share it only with the third-party tools that make the platform work:

  • Supabase (database + storage, EU region)
  • Netlify (website hosting)
  • Resend (transactional email)
  • Cal.com (interview scheduling)
  • Anthropic (AI assistance with application review, interview summaries and — with your consent — feedback drafting; they receive your application answers and your name, plus interview transcripts and notes where you've consented — never your email or phone number from our records; processed in the United States under Anthropic's data-processing agreement)
  • Notion (interview meeting notes and, where you have consented, interview transcripts — used internally by the hiring team only)

How we use AI

We use AI tools (Anthropic's Claude) to help us organise, summarise, and score applications against a written rubric, and — with your consent — to help draft interview feedback. AI never makes a decision about you: every shortlisting, interview, and offer decision is made by a person, and AI-drafted feedback is reviewed and approved by a senior team member before it is sent. If you'd like a decision re-checked without any AI assistance, email us — a person will re-review your application without using AI tools, normally within 14 days.

Cookies

We use essential cookies only — to keep you signed in and your application secure. No analytics cookies run today; the consent banner records your preference in case we add privacy-friendly analytics later, and nothing is set unless and until we do. No third-party trackers, no marketing pixels.
